I. Summary

The Administrative Assistant is responsible for administrative duties in support of the Vice President, Administration. The Administrative Assistant provides support to the Vice President and her staff. The Administrative Assistant will perform Human Resources administrative functions to include recruiting for the temporary workforce, benefits administration and some training.

II. Major Responsibilities/Duties

    A. Records Management

    • Prepares all documents for scanning into the electronic data storage system.
    • Stores records as directed by department records retention plan.
    • Updates and maintains personnel information in the payroll and computer files.
    • Prepares paperwork for new employee orientations as required.

    B. Telephone

    • Answers telephone calls promptly.
    • Accurately records and passes on all messages.
    • Screens telephone calls as required.

    C. Mail

    • Opens departmental mail, sorts it and prepares it for scanning.
    • Handles all mail which the Vice President does not need to see.

    D. Appointments/Visitors

    • Schedules meetings and maintains calendar for the Vice President.
    • Reminds parties of meetings held at the request of the Human Resources Department.

    E. Travel Arrangements

    • Makes travel arrangements for job applicants.
    • Prepares travel itineraries.
    • Confirms transportation, hotel and other reservations.
    • Ensures all financial arrangements are completed in advance of the trip.

    F. Office Routines

    • Types and maintains reports, memos, letters and notices.
    • Operates Facsimile equipment for sending faxes.
    • Keeps telephone mailing lists up to date.
    • Follows up on matters that need to come to the attention of the Vice President.
    • Orders and maintains office supplies for the human resources office.
    • Orders and maintains adequate supply of forms for the employee benefit programs such as health, dental, vision, life insurance and LTD.
    • Prepares and distributes monthly safety inspection checklists material and ensures it is returned and filed.

    G. Recruiting

    • Posts job descriptions for open positions.
    • Informs Employment Resources of position openings.
    • Places newspaper advertising as directed.
    • Maintains employment applications file.
    • Schedules Interviews.
    • Checks references, initiates background checks.
    • Prepares letters to job applicants.
    • Interviews candidates for temporary workforce pool.

    H. Personnel Administration

    • Maintains advertising data.
    • Tracks progress on open positions.
    • Schedules temporary workforce and monitors hours to ensure they do not exceed hours limitations.
    • Provides answers and information to employees on benefit programs.

    I. Confidential matters

    • Handles all personal and personnel matters discretely.
    • Discusses no materials observed or handled with anyone in the company or community.
    • Avoids all gossip about the company and its employees.
    • Shows good judgment in all conversations with visitors.
    • Brings to the attention of the Vice President items that might go unnoticed.

III. Education and Knowledge

  • Graduate of Accredited high school.
  • Previous administrative experience.
  • Previous Human Resources experience is a plus.
  • Spreadsheet knowledge.

IV. Skills and Abilities

  • Types 35 WPM.
  • Ability to edit and make grammatical corrections.
